Refund & Cancellation Policy:
To withdraw a student, parents must inform us in writing at president@chesterbrookpta.org. Before May 1st, camp fees are fully refundable, less a $10 administrative fee for cancelled sessions. Camp fees are nonrefundable beginning May 1st.
With the Director’s permission, students may change classes or sessions based upon availability and best grade level match. Students may also allow a friend to take their place in a camp.
Summer Quest reserves the right to change instructors as needed or to cancel classes due to low enrollment. If Summer Quest cancels a class due to low enrollment, a full refund will be provided.
FCPS Medical Forms & Policies
For Summer Quest, parents can use doctor’s orders that are currently on file with FCPS for the 25/26 school year, as long as the medication is not expired. Existing doctor’s orders are good for 1 calendar year.
Medications
Parents with children on medication should administer the medicine prior to and/or after participation in the summer program. If your child MUST receive medication during Summer Quest hours, you are required to complete the FCPS Medication Authorization form. We are unable to give medication of any type without the approved forms.
Inhalers
FCPS Inhaler Forms from the 25/26 school year will be accepted for Summer Quest. However, if your child does not have inhaler information on file with FCPS, please see the FCPS Authorization for Virginia Asthma Action Plan and the Virginia Asthma Action Plan.
Epinephrine Pens
Epi-pens require an Epinephrine Authorization form. We do have stock epi-pens for any student that may have an allergic reaction, but does not have an epi-pen in our possession.
Company/Flexible Spending Reimbursements:
If you are eligible for reimbursement through your company or flexible spending accounts, please provide the necessary paperwork to Ms. Hampsher-King. The Chesterbrook PTA tax ID number is 54-1268479. Please also save a copy of your child’s registration information. This information may not be available from the PTA at the end of the year.
